This role supports the Submissions Manager by coordinating work, guiding team members, and ensuring that processes are followed and outputs meet required specifications.

THE ROLE

  • Coordinate the full bid administration workflow, ensure correct sequence, meet deadlines, quality and compliance standards
  • Plan and manage submission workloads, including tender cycles, client programs, and recurring requirements
  • Monitor progress, adjust timelines as needed, and resolve workflow issues or bottlenecks
  • Act as second‑in‑charge when the Submissions Manager is unavailable
  • Represent the submissions team in internal meetings and ensure follow‑through on actions
  • Train, mentor, and support Bid Coordinators and Administrators 
  • Conduct first‑level quality checks on submission content, templates, and documentation
  • Review and refine Tender Action Lists to ensure clarity and correct sequencing
  • Maintain, update, and improve templates, content libraries, and standard responses 
  • Support recruitment, onboarding, and integration of new team members
  • Perform Bid Coordinator duties and general administrative tasks as required to support the submissions function

ABOUT YOU

  • 5+ years in bid coordination, submissions, proposals, or a similar role
  • Written communication skills with attention to detail
  • Experience guiding, mentoring, or supporting team members upskilling and ensure consistent process application.
  • Organised and able to manage multiple deadlines.
  • Work collaboratively and contribute positively to a high‑performing team environment.
