We are seeking an experienced Administration Manager to support our Melbourne operations from our Glen Iris office. This role provides high‑level administrative support to the State Manager and wider business, ensuring smooth day‑to‑day operations, strong internal communication, and full compliance with our management systems. You will also oversee 1–2 administration staff, guiding their workflow and ensuring consistent quality across all administrative functions.
THE ROLE
- Coordinate day‑to‑day administrative operations, ensuring efficient workflow and effective management of overheads and resources.
- Maintain and support the organisation’s Management System, ensuring accuracy, compliance, and timely updates.
- Provide high‑level administrative support to the State Manager and broader team, including reporting, data collation, and document preparation.
- Lead and oversee 1–2 administration staff, allocating tasks and maintaining consistent communication across the office.
- Manage stock levels, conduct stock takes, and ensure all processes meet compliance requirements.
- Present a professional and courteous image to internal and external stakeholders while handling general office duties such as data entry, filing, and archiving.
ABOUT YOU
- Minimum 5 years’ experience in a senior administration or coordinator role, ideally supporting management.
- Proven ability to manage overheads, resources, and administrative workflows.
- Advanced skills in Microsoft Excel and Word, with strong capability in reporting and document management.
- Exceptional attention to detail, including formatting, editing, copywriting, and proof‑reading.
- Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.
- Proactive, organised, and able to anticipate needs in a fast‑paced environment.
- Strong team player with the ability to multitask, prioritise, and meet competing deadlines.
